We are looking to hire a Program Administrator to join the NVFS Homeless Services team! As the Program Administrator for Homeless Services, you will provide essential ongoing recruiting, onboarding, training, and supervision of the 24-hour staff required for the SERVE Emergency Family Shelter.
This position requires preparing weekly/ monthly schedules of 24-hour coverage for the shelter and is responsible for ensuring that the team of Shelter Support Specialists is providing an environment that respects the welfare, safety, comfort, and daily support of the shelter guests.
As the administrator, you will be responsible for leading an effective team of shelter support staff that can adapt to and embrace change in a fast-paced environment.
You will monitor and track staff hours to ensure adherence to the budget and minimize loss through overtime.
As the Program Administrator, you will provide crisis intervention for issues that arise on all shifts.

This position has a salary range low to mid 50s.
In this role, you will be responsible for:
Staff Supervision, Development and Scheduling:
Identify and fulfill staffing needs; work collaboratively with each staff member or talent development process to set job and development goals; approve timesheets, leave, and reimbursement requests; provide ongoing administrative staff operation and training to enable direct service staff to deliver client service effectively.
Supervise program staff including conducting regular individual and group staff.
Conduct regular and timely supervision according to established program guidelines.
Maintain Shelter Support Specialist schedule, ensuring 24-hour double coverage.
Track and monitor staff hours per the budget.
Ensure direct reports' compliance with vendor contracts and facility safety policies and procedures.
Client Support:
Perform day-to-day administrative duties including maintaining database, client intakes, and assisting other staff with completing paperwork left unfinished.
Process client intake by documenting background information and history upon intake and orienting new arrivals to shelter protocols and policies.
Support engage, and observe clients in day-to-day routines, assessing behavior and overall well-being.
Develop informal opportunities to assist when needed.
Ensure or assist in meal preparation and report kitchen issues or concerns to the Program Manager and Workplace Solution Manager, when applicable.
Campus Safety:
Contribute to the care, cleanliness, and safety of the shelter program/ NVFS SERVE Campus by reporting facility concerns promptly, making recommendations for safety improvements, and assisting in drafting policies and procedures that relate to campus-wide safety and compliance.
Work collaboratively with the Workplace Solutions Manager to ensure timely completion of inspections and follow-up to preserve the good condition of infrastructure and ensure that facilities are safe and well-functioning.
Effectively de-escalate, diffuse, and monitor the overall shelter environment for safety.
Other:
Participate in regular supervision with the Program Manager and provide regular updates.
Remain current on knowledge of standards and other program-related information.
Enter data for record-keeping and reporting to meet relevant guidelines.
Your Background:
We understand that you may obtain skills through a variety of professional, personal, educational, and volunteer experiences.
Demonstrated experience working with homeless populations or at-risk populations with a demonstrated understanding of systemic issues that affect low-income and marginalized populations.
Experience and/or training in strategies for working with individuals with mental health issues, addictions, and substance use disorders.
Knowledge of shelter and/or workplace security.
Demonstrated ability to successfully manage a team with experience providing direct supervision to staff.
Ability to foster an encouraging, supportive, and collaborative team environment.
Experience scheduling for 24-hour coverage preferred.
Two (2) years related work experience in administration and providing technical assistance preferred.
Demonstrate ability to work in multiple data management systems (i.
e.
, HMIS, Apricot, etc.
) and maintain close attention to detail and accuracy.
Oral and written fluency in English; additional language skills are always welcomed.
Proficiency in the usage of basic technological tools including laptops/computers, email, phone, and internet; working knowledge of Microsoft Office Suite.
Must be able to demonstrate and live the organizational values of Communication, Integrity, Respect, Collaboration, and Accountability.
Special Requirements:
Successful completion of background checks required upon hire.
TB test.
CPR/1st Aide training (will be provided by NVFS if not already obtained).
Must be able to work flexible hours, including overnight shifts, to ensure appropriate staff supervision coverage.
Must be able to lift a minimum of 50 pounds.
Must stay awake at all times during the shift.
